The Organization Sync integration with HubSpot enables two-way synchronization of Partner and Distributor Organizations and their associated Contacts between Channeltivity and HubSpot. Once activated, creating a new Partner or Distributor Organization (or User/Contact) in Channeltivity will automatically create a linked Company (or Contact) in HubSpot, and vice versa. Updates made in either system are kept in sync to ensure data consistency.
If you're already syncing Partner Organizations and would now like to sync Distributors as well, follow the steps below.
***Please note that Distributors are only included for customers who have purchased the Distributor module.***
Step 1: Update the Status Field in HubSpot
Update your Channeltivity Partner (Organization) Status property in HubSpot to include the following values:
- Active Distributor
- Inactive Distributor
Step 2: Export Your Distributor Organization List from Channeltivity
Navigate to the Distributor Management module in Channeltivity and click the ellipsis (⋯) icon > Export to Excel.
You’ll then use the list to update the corresponding Distributor Companies in HubSpot by:
- Set the Sync with Channeltivity field to "Yes."
- Updating the Channeltivity Partner (Organization) Status property to either Active Distributor or Inactive Distributor. If you don’t plan to sync Inactive Distributors, you can skip those records.
IMPORTANT: Before proceeding, ensure all relevant Distributor Companies in HubSpot are correctly categorized and have the sync flag enabled. This prevents duplicate records from being created during the initial sync.
Step 3: Configure Channeltivity to Sync Distributors
Go to Settings > HubSpot Integration > Organization Sync.
- Check the “Active Distributors” box to sync Active Distributor Organizations to HubSpot.
- Optionally check “Inactive Distributors” if you'd like to include Inactive Distributor Organizations as well.
Step 4: Map Picklist Values
In the Field Mappings section, locate the mapping for Organization Type to Channeltivity Partner (Organization) Status.
- Click the caret icon to expand the mapping and select “Map Picklist Values.”
- Ensure each Channeltivity value (e.g., Active Distributor, Inactive Distributor) is mapped to the correct corresponding value in HubSpot and click “Done.”
- You'll then be taken back to the field mappings page, where you'll click > Save to save your mappings.
Step 5: Launch the Organization Matching Wizard
After saving your mappings, you'll be redirected to the Organization Matching Wizard. This tool allows you to match existing Distributor Organizations in Channeltivity to Distributor Companies in HubSpot.
- Confirm that the sync flag and status values have been correctly set on the Distributor Companies in HubSpot by selecting the "Okay, I did this. I promise checkbox."
- Choose which system (Channeltivity or HubSpot) should serve as the master for the initial sync > Continue.
Step 6: Match Distributor Records
The wizard will display Distributor Organizations from Channeltivity on the left and suggested Company matches from HubSpot on the right. For each record, you can:
- Click “Link” to accept the suggested match
- Use the “Please Select” dropdown to manually choose a different Company in HubSpot
- Click “Create New Company” to generate a new record in HubSpot
- Click “Do Not Sync” to exclude the record from synchronization
Once all Distributor records have been matched, a confirmation screen will appear, and Channeltivity will begin syncing the records automatically.
