Channeltivity's Lead Distribution Module can be configured to provide extra safeguards for complying with GDPR. This article will explain how the regulation can apply to Lead Distribution programs and take you through the configuration steps to enable these features.
How GDPR can apply to Lead Distribution
These instructions do not constitute legal advice. You should consult with an attorney before implementing your Lead Distribution program.
The EU's General Data Protection Regulation (GDPR) requires that you have a valid legal basis for processing personal data of EU data subjects. For Channeltivity's Lead Distribution Module, this means that you are only allowed to distribute Leads to your Partners if one of the following conditions are met:
- the Lead consented to be contacted by one of your Partners,
- you have an existing business relationship (contract) with the Lead that would require distribution of the Lead to a Partner, or
- you are acting in the Lead's best interest.
To stay out of trouble, you will want to make absolutely sure that the Leads you give to your Partners meet the requirements of the legislation.
In Channeltivity, you can turn on a special Lead field to track your permission to distribute. When it's enabled, your Users will need to check a box to confirm that the legal permission exists whenever a Lead is created. Any Leads without the expressly confirmed permission cannot be distributed to Partners.
Important: you will need to train your team to be familiar with GDPR and follow procedure. The Lead confirmation box should only be checked if the Lead meets the required permissions.
Configure Lead Distribution to help you comply with GDPR
- Logged in as an Administrator, find the Lead Distribution Module Settings in the Settings section (Settings > Lead Distribution > Lead Distribution Module Settings)
- Scroll to the GDPR Options section and check the box:
- Check the second box and review the text that will be presented to Users when they create Leads:
- Hit the Save button.
Go through all existing Leads and either confirm them if you have legal permission or delete them if not.
FAQ
What do Partners see?
The "Permission to Distribute" field and functionality is hidden from Partner Users. Only your Internal Users can see it.
What do I do if I confirmed a Lead by accident?
You will need to delete the Lead. Once a Lead is confirmed, there's no way to "unconfirm" it.
What should I do with old Leads that were entered before GDPR went into effect?
Unless you're certain that the Leads meet the requirements of GDPR, you should delete them. For those already assigned, work with the Partners to determine if they are in an active sales cycle with the Lead and then log the legal permission in Channeltivity.
